What happens at a Korean clinic's front desk — registration, identity, deposits and receipts

A Korean clinic visit begins at the reception desk (접수 jeopsu), and for a foreign patient four things happen there that a booking page does not mention. Identity check against the booking name, registration before the last reception time, any deposit, and the receipt and itemised statement to ask for — the VAT refund on cosmetic procedures ended on 31 December 2025, so the receipt is for your records and insurance at home, not for the airport.

Reception at a Korean clinic asks for your passport and matches the name to the booking before registering you. That desk (접수 jeopsu, registration) is where an online appointment becomes a patient record. You pass it before you see anyone. Four things happen there that matter more for a foreign patient than for a local one.

1. Identity: the name on the booking

Reception asks for identification (본인확인 bonin-hwagin, identity confirmation) and matches it to the booking. For a visitor that is the passport. The name must match the booking exactly as printed — spelling, order, no nickname — which is a legal requirement for medical records, not a formality. A mismatch is a common reason a booked patient is turned away, or delayed while the record is corrected, and the mismatch is created at the booking form. Under the name field, the consultation form on K-Beauty Station tells you to enter your name as it appears on your passport, and its mobile-number field asks for a country code rather than a Korean number (form fields read on 16 September 2026). Fill both the way the desk will read them. How the booking asks for it: how to book a skin clinic in Gangnam.

2. Registration closes before the door does

Clinics publish a closing time (마감 magam). They stop registering new patients earlier (접수 마감 jeopsu magam, registration closed). Of seven Gangnam dermatology clinics checked on Naver Place in August 2026, three published a last registration time and four did not publish one at all. Among the three the gap ran from 30 to 90 minutes, and GU Clinic Gangnam Branch sits at the ninety-minute end: it registers to 19:30 against a 21:00 close (checked 13 August 2026). A booked appointment is registered on arrival. A walk-in after 접수 마감 is not. The measured gaps per clinic moved to Gangnam skin clinics compared.

Booking platforms do not close that gap. Across all 137 stores listed in English on K-Beauty Station on 16 September 2026, not one page publishes a last-reception time; the listings give day-by-day opening and closing hours and nothing else. GU Clinic Gangnam Branch shows the split. The clinic publishes a 19:30 registration cut-off, but its platform page gives 10:30–21:00 Monday to Friday and 10:30–19:00 on Saturdays, Sundays and public holidays, with no cut-off anywhere on it, so read a published close as the door, not the desk. Arrive at least 60 minutes before the published close. Make it 90 if you have not been to that clinic before. If you are cutting it fine, ask in the venue’s messenger. 134 of the 137 English store pages carry a WhatsApp consultation button, and that is where to ask for an answer the listing does not hold.

Here is the door time each of the 12 Gangnam skin clinics publishes, against the desk time none of them publishes.

Read every time in this table as the door, and put the desk time to the clinic yourself.

3. Consultation and treatment are separate entries

Reception registers you for a consultation (상담 sangdam, consultation; 진료 jillyo, examination). Treatment, if the doctor recommends it and you agree, is registered and paid separately, usually on the same visit, which is why an online booking is for a consultation. It is also why the price on a listing is a starting price: what skin treatments cost in Gangnam. Some venues take a deposit at the desk for treatment slots, and the listing or the coordinator should have told you in advance.

4. The receipt

Ask at payment for a 영수증 (yeongsujeung, receipt), and for a 진료비 세부내역서 (jillyobi sebunaeyeokseo, itemised statement of medical charges) if you intend to claim anything at home. Say either word at the desk and you will be understood. The rest of the sentence can be in English. The VAT refund on cosmetic procedures ended on 31 December 2025. So the receipt is for your own records and insurance, not for the airport: Is K-beauty still tax-free?. For travel insurance at home, ask for an English receipt. Large clinics can print one.

What the desk cannot do

Reception staff at most clinics speak service Korean and some English, but they do not interpret; the medical explanation comes from the doctor or a coordinator. Which level of English you are getting: what ‘English OK’ means.

Frequently asked questions

What do I need at a Korean clinic front desk?

Your passport, with the booking made in the exact name printed on it. Reception matches identification to the booking before registering you, and a mismatch is a common reason for delay.

What is the difference between closing time and last registration?

Closing time (마감 magam) is when the door shuts; last registration (접수 마감 jeopsu magam) is when the desk stops taking new patients, typically 30 to 90 minutes earlier at the three of seven Gangnam dermatology clinics that published the time when checked on Naver Place in August 2026. The other four did not publish it, and no K-Beauty Station store page publishes it at all — the listings give opening and closing hours only, checked across all 137 English store pages on 16 September 2026.

Can I get a VAT refund at the clinic?

No. The VAT refund programme for cosmetic medical procedures for foreign patients ended on 31 December 2025. Ask for a receipt and an itemised statement for your own records or insurance at home.
